This policy is designed to comply with global standards, including GDPR and CCPA frameworks, ensuring the highest level of protection for property management professionals.

2. Detailed Data Collection

Unlike automated channel managers, Air Made Easy relies on User-Input Integrity. We collect:

  • Professional Identity Data: Full legal name, business entity name, and verified email addresses for account authentication.
  • Property Portfolio Metadata: Unit identifiers, addresses, and property-specific configuration settings entered manually by the subscriber.
  • Financial Transactional Data: This includes manually recorded rental income, cleaning fees, maintenance costs, and management commissions. This data is stored in an encrypted state to facilitate the generation of Margin Reports.
  • Owner Portal Data: Contact information for third-party Property Owners invited by the Manager to view performance dashboards.
  • Technical Log Data: IP addresses, browser types, and session timestamps used solely for security auditing and preventing unauthorized access to the "Walled Garden" environment.

3. Financial Data and Third-Party Processing

Air Made Easy does not act as a primary financial institution.

  • Payment Processing: All subscription payments for our Starter, Pro, and Agency plans are handled via PayPal's Secure Gateway.
  • PCI Compliance: We do not store raw credit card numbers or CVV codes on our servers. All billing interactions are tokenized via our payment partners to ensure maximum security.
  • Ledger Security: Financial figures entered into your manual ledger are utilized only for the calculation of Payout Summaries and are never shared with external marketing entities.

4. Purpose of Processing

We process your data to fulfill our contractual obligations under our Service Plans:

  • Starter Plan: Management of core identity data for up to 5 properties.
  • Pro & Agency Plans: Advanced processing of owner-portal invitations and multi-user access logs.
  • Reporting: Aggregating manually entered data into visual performance charts and downloadable PDF statements.
  • Security: Utilizing session data to detect "brute force" login attempts or unauthorized access attempts.

5. Data Retention and Deletion

In accordance with financial record-keeping standards:

  • Active Accounts: We retain your property ledgers for the duration of your active subscription.
  • Cancelled Accounts: Upon termination, data is moved to a "cold storage" state for 60 days before permanent erasure, allowing managers to export final tax-year reports.
  • Owner Data: Property Owner information is deleted immediately upon the Manager's removal of the owner's portal access.

6. Security Architecture

Air Made Easy employs a multi-layered security stack:

  • Transport Layer Security (TLS): All data in transit is encrypted via 256-bit SSL certificates.
  • Access Control: We utilize strict session-based tokens. If a user attempts to access a sensitive route without a valid session token or identifier, the system automatically terminates the request and redirects to the secure login gateway.
  • Database Isolation: Client ledgers are logically isolated to ensure no cross-contamination of financial data between different management agencies.

7. Third-Party Links and Referrers

Our platform may interact with third-party sites for the purpose of payment (e.g., PayPal). Please note that once you transition to the PayPal secure checkout, their specific privacy policy governs the transaction. We utilize URL masking technology and No-Referrer headers to protect the privacy of our internal dashboard structures during these transitions.

8. Updates and Compliance

Air Made Easy reserves the right to modify this policy as property management regulations evolve. Users will be notified of significant changes via the email address associated with their Air Made Easy Account.
